Sharing Folders with Guest Access
How to allow link-based sharing for folders
Guest access lets you share a folder with people who do not have a DekkoCORE account. Once guest access is enabled, the folder is reachable through a single link that you send to the recipient. Recipients open the folder in a browser and can view and download the contents, and upload to it if you allow that.
The link is the credential. Anyone who has the link can open the folder and its contents until the link expires, you refresh it, or you turn guest access off. Treat the link with the same care as the files themselves and send it through a channel you trust.
Before you start
- Guest access is only available if your organisation has enabled the policy that allows it. If you do not see the option, contact your DekkoSecure administrator.
- Only the owner of a folder and users with the shared manager role can enable or configure guest access.
- Every guest link has an expiry. The shortest period is 3 days and the longest is 1 month.
Enable guest access on a folder
- Select the folder, click More, then click Enable guest access.
- In the Guest access panel, set how long access lasts (3 days, 1 week, 2 weeks, 1 month, or a custom date within that range) and tick Let guests upload files if recipients need to add content. Leaving it unticked makes the folder read-only. Click Create guest link.
- Optionally, click Email the link to someone... and enter a recipient address. The link is sent through the Dekko email notification system. Note that this puts the address, including the key, through the official DekkoSecure email notification service.
- Click Save changes.
- Click Copy link to paste the address into another application, such as a secure messaging system.
The panel confirms the folder is live, along with the number of files and folders that are reachable and the date access ends.
How a folder with guest access appears
Folders with guest access enabled are highlighted in red and show a Guest ON tag in the Status column. Contents inside the folder are highlighted in the same way, so it is clear which items are reachable through the link.
Click the Guest ON tag at any time to open the guest link settings.
What the recipient sees
The recipient opens a page titled Files shared with you which lists the folder contents, with the expiry date shown at the top. They can open supported files in the viewer, download individual items, or download everything.
If uploads are enabled, the page also shows Upload, Upload folder, and New folder options.
Disable the link
- Open the guest link settings from the Guest ON tag.
- Click Turn off, then confirm.
- Click Save changes.
The link can no longer be used and the folder is no longer reachable by anyone holding the address. Files stay where they are and keep their normal sharing. Enabling guest access again later creates a different address, so anyone who had the old link will need the new one.
Refresh the link
- Open the guest link settings from the Guest ON tag.
- Click Refresh URL and confirm.
- Copy the new link and send it to the recipients who still need access.
The old link can no longer be used. The expiry time does not change.
If you log out and sign back in, the address of the last link cannot be retrieved and the panel shows "Address not available on this device". Guests who already have the link are unaffected. To obtain a link you can send again, open the guest link settings and click Refresh URL, which invalidates the previous link.
Change how long access lasts
- Open the guest link settings from the Guest ON tag.
- Click the new time period.
- Click Save changes.
The address stays the same, so recipients do not need a new link.
Enable uploads after the link has been created
- Open the guest link settings from the Guest ON tag.
- Tick Let guests upload files.
- Click Save changes.
The address does not change.
Add new content to a folder with a live guest link
Open the folder or any sub-folder and upload as you normally would. New content is immediately available through the existing link. If the recipient already has the page open, they need to refresh it to see the new items.

Where uploads are enabled, recipients can upload files, upload folders, and create new folders. Anything they add is shared with you and with everyone else who has access to the folder automatically.
