Renaming, Reclassifying and Moving Files and Folders
Rename, reclassify and move files and folders within DekkoCORE.
Before You Start
Your file or folder permission decides what you can do, not your Hub role. For example, an External user with Full permissions can rename a file, while a Team member with View only cannot. See Sharing Files with Authentication and Sharing Folders with Authentication for all permission types.
| Action | Who can do it |
|---|---|
| Rename a file | The file owner, or users with Manager or Full permissions. Manager or Full permissions on a folder applies to every file in that folder. |
| Change classification | The file owner, or users with Full permissions. |
| Move a file | The file owner, or users with Full permissions. You can only move a file to a destination you got access to. |
Files shared with you with Full permissions show ⭐ Admin tag in the Status column. You can rename, reclassify and move these files. If an option in this guide is unavailable, you do not have permission to use it. Ask the file owner to update your permission or make the change for you.
Renaming a File or Folder
Renaming changes only the name shown in the file list. The content, sharing and status tags stay the same.
Locate the file or folder you want to rename
Select the file or folder, click ... More in the top bar, then select Rename.
Enter the new name.
Click Save.
The new name is displayed to everyone the file is shared with.
Users with Listing only permission can see file names. Avoid putting sensitive details, such as a person's name or a case number, in a file name unless everyone with access is cleared to see them.
Changing a File's Classification
A file's classification is displayed under its name in the file list, for example UNOFFICIAL. Classification is available when your organisation has enabled the Enforce classification Tenancy policy.
A classification is chosen when a file is uploaded or a document is created in-app, and can be changed afterwards. Classification is separate to status tags, which are added with ⊕ in the Status column. Changing a status tag does not change a file's classification. See Status Tagging and File Attribution for details.
Under the Protective Security Policy Framework (PSPF), the originator of the information approves any change to its classification. Check your agency's policy before changing a classification you did not apply, particularly when lowering it.
Select the file.
Click More, then click Change classification.
In the dropdown select the new classification.
Click Save.
Everyone with access to the file can see its new classification under the file name. Each change is also recorded in the file's audit log, showing the previous and new classifications.
Moving a File
Moving a file can change who has access to it. Check the Status column of the destination folder before you move a file.
When you move a file, its sharing permissions move with it. If you move a file from the root of a Hub into a shared folder, only the people who already had access to the file keep it. However, if the folder's admin later opens the folder's sharing settings and selects Save, they are granted access to the moved file.
Select the file(s).
Click ... More, then click Move.
Select the destination location.
Click Move.
Files can only be moved within the same Hub. If you need to move a file from one Hub to another, download it and upload it into the new Hub.
