Project Hubs: Invite Users

How to invite users to a Project Hub.

Users that are Tenancy Manager in a Project Hub are able to send invites:

  1. Login to DekkoCORE
  1. In the top of the dashboard select the Hub you want to invite user(s) to
  1. In the left navigation panel select Invite users
  1. Fill out the email of the person you would like to add and click Invite

Project Hubs does not have user types, instead a user can be added to a sharing group after being invited to the Hub.

If the invite button is disabled, this means you do not have invite or admin permission for the Hub - request permission from the Tenancy Manager or request a user to be invited. Remember, you can always ask the person who invited you!

Create user groups

Access in a Project Hub is given to groups and individuals. These parties are created and managed in the Tenancy Manager, and the same group can be used in any Project Hub in the tenancy.

Select User groups in the Tenancy Manager. The list shows each group with its number of members. Entries marked Individual are groups of one person, which DekkoCORE creates when someone is invited from the file management interface.

Create or edit a group

  1. Select Create group, or select the ... menu on an existing group and choose to edit it.
  1. Enter a Name.
  1. In Add member, type a name or an email address. An email address invites the person, and they can be outside your tenancy.
  1. To add many people at once, select Import from CSV.
  1. To remove someone, select the cross beside their name in the Members list.
  1. Select Save group.

What happens when membership changes

When you add someone to a group, they get access to everything that group can access in every Hub where the group is active. This includes files uploaded before they were added, and the access takes effect almost immediately.

When you remove someone from a group, their access ends straight away, unless they belong to another group that is active in the same Hub.

Share files with an unregistered user

Need to share with someone who doesn’t have a DekkoSecure account! The share-and-invite feature makes this easy - no separate invites required.

  1. Upload the files, select them, and click Share
  1. Add the email addresses of the users that need access
    1. Users that are new to DekkoSecure (and new to the Hub) will be marked with (Invited when you save)

  1. Set the appropriate access permission and then press Save Changes. Your invitee will be able to access shared files after they create an account using their invite.

Invitees who are not registered will automatically be send an invite via email when you add them to a Hub. Invites sent to an email ID that is associated with a current DekkoSecure account will be added to the Hub immediately.

Tip: if the sharing menu doesn’t allow you to share with users who aren’t members of the selected Hub, this means the share-and-invite feature has been disabled by your organisation admin. If this is the case, send the unregistered user an invite before sharing or ask your Hub administrator to send an invite if you don’t have permission.

Your DekkoSecure administrator can add a tailored invite message in the invite message appendix via a tenancy policy. This message will appear at the bottom of your DekkoSecure invite.

Invite delivery troubleshooting

If your invitees can’t find your invite(s):

First - double-check if the invitee’s email address has been entered correctly. To remove any doubt, the best method is to copy and paste the address from your mail client.

Invitees should check their spam/junk folder or the “Other” inbox in Outlook.

If the invite cannot be found then your invitee will need to check if the DekkoSecure system notification address are being blocked by their IT administrator. If this is the case and it has been rectified you will need to re-send your invite.

If any issues persist please create a support ticket - our support team will be able to investigate whether your invites are being blocked.
